Liability of administrators
Each of the Joint Administrators is responsible for processing personal data in accordance with the principles set out in Article 5 of the GDPR, for the proper protection of personal data, in particular against unauthorised access and unauthorised modification of data, for the exercise of the rights of natural persons referred to in Article 15-22 of the GDPR, taking into account possible restrictions resulting from legal provisions, ensuring accountability in the performance of obligations under the GDPR, keeping records describing the manner of personal data processing, including a record of data processing activities (requirement of Article 30 of the GDPR), notifying the supervisory authority of a breach referred to in Article 33 of the GDPR that has occurred within its own structures, notifying the data subject of a data breach if it is likely to result in a high risk to the rights and freedoms of individuals.
Legal basis for the processing of personal data
Depending on the circumstances related to the transfer of data, the basis for data processing may be Article 6(1)(e) of the GDPR, in conjunction with the Act of 20 July 2018 on Higher Education and Science (Journal of Laws, item 1668) and the mission carried out by the Joint Administrator – the university – on its basis, which is to conduct scientific activity, shape civic attitudes, and participate in social development and the creation of an innovation-based economy. In addition, the basis for data processing will be Article 6(1)(b) of the GDPR concerning the taking of steps prior to entering into a contract and the performance of the contract itself, Article 6(1)(c) of the GDPR indicating the need to fulfil a legal obligation incumbent on the controller, Article 6(1)(f) of the GDPR with regard to the necessity of processing for the purposes of the legitimate interests pursued by the Joint Controllers, and possibly Article 6(1)(a) of the GDPR with regard to data processed on the basis of consent.
Scope and purpose of data collection and use
Your personal data will be processed for the purpose of registering your participation in the event, concluding a contract for participation in the event, communicating with you, documenting the course of the event, promoting the event, and sending information about scientific events organised by the Joint Administrator in the future.
The joint administrators may also process your data for purposes related to information activities, handling complaints, pursuing possible claims, responding to letters and enquiries in ongoing proceedings.
The scope of processing of personal data obtained from you may include: name and surname, personal identification number, position, place of work, address details and other data necessary in connection with the performance of the contract, including, for billing purposes, additionally, tax identification number and statistical number, as well as data concerning transfers, including bank account numbers.
Joint administrators may also process personal data based on your consent, given voluntarily, specifically, consciously, and unambiguously.
Your personal data will not be transferred outside the European Economic Area or to international organisations, except in situations related to the publication of your data on social media based on your separate consent.
Your personal data will also not be subject to automated decision-making (without human intervention). Your personal data will not be used for profiling.
Processing time
Your personal data will be stored for the duration of the preparation and organisation of the event, the term of the agreement, the use of services, for the time required by applicable law regarding the storage of documentation, or for the limitation period for claims specified in the law.
Data for which the basis for processing is your consent will be processed until your consent is withdrawn or the service for which consent was given is terminated.
Sharing of personal data
Your personal data may be disclosed to entities authorised to receive it under generally applicable law and to persons and entities cooperating with each of the Joint Administrator on the basis of separate agreements, in particular in the area of organisational and technical support.
All of the mentioned partners have been obliged by the Joint Administrators to protect personal data in accordance with the law and with due diligence.
Rights related to data processing
You have the right to obtain information about the processing of personal data and your rights under the GDPR, access and rectify your data, and the right to erase personal data from the Joint Administrator’s files, unless further processing is necessary for compliance with a legal obligation or for the establishment, pursue or defend claims, and the right to restrict processing, transfer data, and object to processing in the cases and under the conditions specified in the GDPR.
Furthermore, if you believe that your rights have been violated, you have the right to file a complaint with the supervisory authority, i.e. the Head of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw, www.uodo.gov.pl).
The Privacy Policy aims to raise the standard of data processing for visitors to the website https://pp-rai.pl/ and in no case should it be understood as a restriction of the rights of visitors.

Joint data administrators implement and maintain adequate technical and organisational measures to ensure the protection of personal data being processed, appropriate to the risks and categories of data covered by the protection, and in particular protect the data against unauthorised access, removal by an unauthorised person, processing in violation of the law, and alteration, loss, damage or destruction.
However, it should be noted that, given the challenges posed by the internet environment, complete data security may prove impossible to achieve despite the efforts made by the Joint Administrators.
